The Forum Event Experience is the digital platform that supports the World Economic Forum’s global meetings and community events. It enables participants to discover event content, manage their agendas, connect with other participants, request meetings and engage in discussions before, during, and after an event.

The Problem

The Forum’s event ecosystem operated across two legacy platforms serving public and authenticated audiences separately. This created duplicated functionality, fragmented user journeys and operational complexity for internal teams. As the platform evolved across multiple events and audiences, the experience became increasingly difficult to scale, maintain, and personalise.

The Challenge

The new platform needed to support multiple user types within a single event experience, each with distinct permissions, access levels, and objectives. Public users, Digital Members, Constituents, Delegates, Operational Contacts and Forum staff all required different capabilities while navigating the same ecosystem. The challenge was to create a flexible and scalable experience that could adapt to these varying needs without introducing complexity on the front and the back.

The Solution

The solution was a unified event platform built on a scalable shared architecture. User research and stakeholder insights informed feature prioritisation, while core user journeys were mapped to identify critical interactions across the event lifecycle. A flexible information architecture was established to support multiple user types, permissions, and event timelines. The platform delivers tailored experiences for authenticated users. Enabling agenda management, delegate coordination, networking, and meeting scheduling, while providing public users with access to discover and engage with event content. This role-based approach created a single, adaptable experience capable of supporting the Forum’s evolving calendar of events.
